How a Charter School Pivoted to an Online Auction During the Pandemic

In April of 2020, the pandemic threw American Academy in Castle Pines, CO, for a loop. They could no longer host their spring gala that typically brought in around $80k in donations.

Technology crucial to their STEAM curriculum depended on this funding so cancelling everything was not an option.

Acting decisively, Auction Chair Krista Cooley spearheaded American Academy’s first ever online auction…to take place in a matter of weeks! With loads of hard work, and a little help from TravelPledge, she was up to the challenge.

Replacing the Live Auction

American Academy historically held a live auction featuring nine or so items. Switching to an online silent auction meant Krista had to procure more items to sell over several days.

To start off procurement, each class prepared a project for the auction, which Krista promoted with her daughter on Facebook.

To obtain donated items, Krista created a detailed spreadsheet of target businesses before systematically calling and emailing them. She recorded the replies from each business to track her progress and provide notes to next year’s auction chair.

Her efforts paid off, as Krista procured many fully and partially-donated items, like electronics, for themed baskets.

“You need thick skin. I was told ‘no’ 75% of the time. Eventually someone is going to say yes.”

TravelPledge Experiences

While Krista procured many fantastic items on her own, her auction still lacked in travel experiences. She then heard about TravelPledge from a peer who organizes a different school’s auction. Krista appreciated that she wouldn’t owe anything unless she sold a package.

She loaded her auction up with some local golf rounds and lessons, getaways to Colorado and Arizona, and some luxury vacations.

In the end, Krista selected eleven TravelPledge items for her online auction.

“I looked at TravelPledge and one other company. Hands down, TravelPledge was a no-brainer. It was such an easy thing to add to our auction.”

The Results

Krista’s hard work resulted in over $76k in donations, nearly matching last year’s tally which included $17k from the live auction!

Her class baskets raised more money than any previous year, and she sold eight of her TravelPledge selections.

In addition to financial success, Krista recognized several other benefits of online auctions. She didn’t have to transport items to the venue, throw a party or deal with vendors.

Krista’s donors loved the online auction as well. She heard many comments that it was more fun sitting at home and bidding online with a martini!

What’s Next?

For next year, American Academy is contemplating a hybrid auction, which could contain a live in-person auction with an online silent auction.
